[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide bill paper printing, mailing and coordinated electronic presentment, image archival, retrieval, e-mailing and related services and software
- to render utility bill paper printing, mailing and coordinated electronic presentment, image archival, retrieval, e-mailing and related services
- an integrated utility bill printing, folding, inserting, and mailing service to work in coordination with the City’s Infor Billing Software in an efficient, timely, and professional manner;
- parallel electronic bill presentment; and
- billing imagery in PDF, to be based upon data contained within the billing file, such imagery to be made available to customers of the City and stored on the service provider’s server to allow access without additional query of Infor server
- Digital Bill Presentment:
- Proposer awarded the purchase shall provide a platform that digitally presents bills in PDF,
- Customers must be able to access the digitally presented bills through a hyperlink provided by the City’s customer electronic billing portal
- Digital image must be an exact replication of the City’s paper bill.
- Archival of previous bills or bill data for dynamic representation.
- Must integrate with a hyperlink in the City’s customer electronic billing portal
- Email Delivery of Bills:
- provide email delivery of bills for customers that have signed up for Electronic Billing.
- The bill file will specify which customers should receive billing correspondence by email rather that printed bill via postal service. Proposer awarded the purchase will email billing notifications to those customers signed up for electronic billing.
- The email will contain customer’s billing information and a hyperlink directing them to the City’s customer electronic billing portal
- Printing/Mailing Services:
- Ability to securely accept electronic files containing City billing information. Proposer shall describe its ability to receive and submit secure files.
- Provision of an archival platform for City employees and customers to have access to historical documents. Please provide options for internal storage as well as providing PDF images of documents to a 3rd party platform
- System supplied by proposer awarded the purchase shall integrate with Infor Public Sector utility billing application. The Infor Billing application also provides the City’s customer electronic billing portal
- Ability to generate billing image in PDF from billing file or data integration provided by City.
- Once billing data is provided from City, historic billing data should be stored on server of proposer awarded the purchase and available to the customer through a hyperlink configured within the City’s customer electronic billing portal
(2) All the questions must be submitted no later than February 3, 2022.
[C] Eligibility:
Onshore (USA organization Only)
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office premises.
