[B] Scope of Service:
Vendor needs to provide email marketing platform and service.
- Must provide the ability to email up to 200,000 recipients
- Ability to access from any operating environment
- Ability to have multiple sub-accounts with a controlling master account
- Ability to have users within a specific sub-account and manager accounts with multiple sub-account
access.
- Ability to build governance with various levels of access and approval methods
- Ability to connect via an API, to add, remove and modify email lists from external systems
- Ability for a recipient to modify subscriptions and information received from the sender, with the
ability to make some subscriptions/information mandatory
- Ability for recipient to view email/e-newsletter in MacOS, Windows, iOS, Android or current
desktop/mobile browser environments through a responsive design.
- HTML and plain text edit for creating emails
- Ability to preview, test and check for problematic content or formatting
- Ability to review and send test emails to individual(s) before distribution
- Ability to white label outgoing emails and include custom branding
- Ability to create and send personalized email lists using data from a customer database
- Ability for emails to contain dynamic content that is personalized for each recipient
- Must provide a method of asset management among sub-accounts
- Ability to provide automated methods of targeting subscribers based on customer data and
campaign history
- Must provide a system to build automated workflows depending on user interactions
- Must provide custom email templates and the ability for user-created templates
- Must provide an email editor with ability to create templates with no coding knowledge
- Ability to provide opt-out links in external emails with no opt-out links in internal emails
- Must provide a base template system that has a responsive design on desktop and mobile
- Ability to target subscribers using lists, filers and groupings.
- Ability to create and print out PDF versions of each email sent
- Ability to provide a web link/version of each email sent
- Ability to automatically pull content into newsletter through RSS feed
- Ability to provide analytics and reporting of each email and recipient, with metrics on, but not limited to; opens, device type, clicks (by specific link), opt-outs and bounce backs
- Must provide a method to view a heatmap based on clicks per email sent
- Access to detailed, real-time reporting tools
- Access to a dashboard with data and metrics related to all sub-accounts
- Access to list management tools to create, upload, download and segment lists
- Ability to do a/b content testing
- Access to build and provide forms for subscriptions and data collection to better server recipients
- Must include online training in the annual cost
- Bidder must provide a dedicated account manager
- Unlimited access to vendor resources such as webinars, white papers and workshops.
- Must have integrated security and support SAML or CAS for authentication
- Must transmit and store our data and emails encrypted
- Must provide access to logs for audit upon request.
