[B] Scope of Service:
(1) Vendor needs to provide ticketing solution to include, but not be limited to, the sale, delivery, and tracking of ticket sales, donor and non-donor account management, marketing support, and customer relationship management capabilities for university.
- Desires a best-in-class, full-service ticketing and marketing partner that is able to provide state-of-the art mobile ticketing, buyer metrics, full integration, and management of back-end revenues and reporting.
- The solution should support functionality for event ticket sales, tracking donor gift receipts and history, reporting metrics on marketing, amongst other common industry characteristics.
- Integration between ticketing, donor, marketing, and customer relationship management functions. Solution must be a fully integrated ticketing system to include, but not be limited to, sale, delivery and tracking of ticket sales, donor and non-donor management, marketing, and CRM.
- Solution must provide a user-friendly, fully automated, interactive website that allows guests to search, select, and buy tickets in real-time.
- Functionalities for merging duplicate accounts including any limitations.
- Insurance held by your company that covers data or system security breaches or misuse.
- Social networking or viral marketing functionality within the system.
- Use of handheld or mobile devices as barcode scanners.
- Mobile Ticketing ability, ease of use for the consumer and overall functionality.
- handling multiple client or venue databases within the same environment and, as necessary, for separate operating entities.
- Interfacing specifications and description for third party integration for such tools as customer relationship management, secondary ticket market partner, seat map visualization, dynamic pricing, stored valued ticketing, heat mapping and all other related interfaces.
- System backups and storage handling procedures.
- Security for multi-venue entity usage and how the system is monitored in the event that problems may occur.
- Describe the system’s security intrusion incident handling procedures including methodology used to determine incident severity and timeline for escalation.
- Provide information on any security experts on the software development team and include certifications and experience.
- The solution must have the capability to allow university to have complete control to make any and all changes to events for all sales channels, including internet and mobile, without the permission or reliance upon the Proposer.
- Mobile ticketing. University desires a solution that has state of the art technology mobile ticketing solution and mobile ticketing app and the mobile ticketing solution must be flexible and UT staff and, separately, staff shall be able to edit, update, and delete in real-time.
- Provide information on any partnerships and arrangements, both exclusive and non-exclusive, with outside support for selling tickets.
- Describe the “point of sale” ticket printers the system supports.
- Describe your system’s capabilities to help with the online sales across all platforms by non-English communicating patrons.
- Describe your system’s tools for tracking accounting structure tied to gifts and pledges.
- Describe the system’s tools for creating fundraising campaigns, processing fundraising transactions, and taking ticketing transactions.
- Describe how the system accepts donations from third parties and ties them to individual accounts.
- Online media tracking of ticket sales and recording of sale in CRM.
- Advanced tracking and reporting mechanism of all sales related to marketing initiatives and campaigns.
- Development, management, and sales of virtual season ticket including merchandise, in-venue and online content.
- Social media tracking of ticket sales and recording of sale in CRM.
- Ability to track marketing initiatives.
- Online retargeting and marketing integration of sales into Twitter, Facebook, Instagram and the ability to add to this list of social marketing assets as developed, including ability to track pixels within digital advertising.
