Government authority located in Tennessee; USA based organization looking for expert vendor for computerized school meal point of sale and nutritional analysis program.
[A] Budget: Looking for Proposal
[B] Scope of Service:
- Vendor is to provide reliable ‘point-of-sale” meal accountability hardware, point-of-sale software, and Free and Reduced meal application software module according to specifications. Vendor also is required to provide nutrition software that integrates with the point of sale software. (Nutritional software to include at a minimum: capability to develop menus, production records, inventory, menu analysis, etc.). Menu Analysis software must be USDA approved.
- Describe transition from current POS software and hardware Nutrition Software to Windows-based software and/or the necessary hardware.
- Describe how you will address future changes made by the District in their student information system or accounting/payroll/personnel software.
- Point of Sale Software:
- Cloud based hosted
- At a minimum the vendor’s software must meet the following requirements:
- Must be able to run any PC application (i.e. Word, Excel, Outlook) on manager workstations while point-of-sale is in operation.
- System must run in a single database environment for the entire district.
- Point-of-sale transactions are to be kept local with an update and storage to a central server to ensure continued operation in the event of a network failure.
- Provide accounting data by each terminal and a consolidation for all terminals as well it must show cash overages and shortages by terminal/cashier.
- System must be able to “block” second meals to prevent over claiming student meals.
- Free and reduced meal application software:
- At a minimum the vendor’s software must meet the following requirements:
- Must comply with current USDA meal application regulations, process free and reduced applications by family or individual, and capable of verifying applications randomly or focused.
- Print bi-lingual letters based on a student’s status: meal status notification and all required verification letters. (English and Spanish)
- Must record any changes made to individual applications and store them as history to each.
- Must notify users when a temporary application status has expired.

[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
