Government Authority located Tennessee; USA based organization looking for expert vendor for Statewide Outstanding Achievement Recognition Event Services.
[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide Statewide Outstanding Achievement Recognition Event Services on Tuesday March 24, 2020, and Wednesday March 25, 2020.
- requesting submissions from venues within .75 mile of the Tennessee State Capitol.
Two consecutive nights between Monday 3/23/2020 and Wednesday 3/25/2020
Lodging
• Monday/Tuesday night, 3/23/2020 or 3/24/2020: Approximately 100 rooms (Standard Double Queen or Single King) and 3 suites.
• Tuesday/Wednesday night, 3/24/2020 or 3/25/2020: Approximately 130 rooms (Standard Double Queen or Single King) and 3 suites.
Reservation Note: TBR requests that 30 rooms each night be held as TBD and added to the group bill. The group bill will include the 30 rooms, meeting space, additional charges, BEO expenses and parking. TBR will work with sales staff to assign the 30 rooms to the appropriate parties. All other reservations will be made through an external link provided by the hotel. Parties making the reservation will pay for their own lodging.
Event Space Needs:
Both Days:
• TBR Staff workroom
o Available starting at 8:00 am on Monday/Tuesday until 11:00 pm on Tuesday/Wednesday
o Setup conference style for 8-10 people. Primary use will be to store event material.
o This room must be locked overnight.
• General event space such as a foyer or lobby for event registration
o Request 5 tables to assist with event
o The setup on Monday/Tuesday is needed from 11:00 am – 7:00 pm
o The setup on Tuesday/Wednesday is needed from 7:00 am – 9:00 pm
Monday/Tuesday:
• 3 Small meeting rooms
o Available at 10:00 am to 6:00 pm
o Setup conference style for 6-8 people
o These rooms will be used for finalist judging.
• 1 meeting room for 50
• Ballroom to seat 125 for dinner
- Additional Food/beverage services:
- Food Beverage Minimum:
(2) All questions must be submitted no later than July 3, 2019.
[C] Eligibility:
- Onshore (USA Only);
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
